Lead tracking help

Tracking and follow-up for campaigns you already run

Venture Central Ad Works passes your request to a service partner who sets up measurement and lead routing around your current tools.

Connecting ads, forms and your CRM

Ads live in one tool, form submissions in another, and sales in a third. Lead tracking setup connects them so information moves along with each lead.

The connection runs in both directions. Forward: a visitor clicks an ad, the link carries UTM labels, the form captures them in hidden fields, and the lead reaches HubSpot, Salesforce or Pipedrive with its source attached. Backward: when that lead becomes a booked meeting or a closed deal, the CRM sends that stage back to Google Ads, Microsoft Advertising or Meta as an offline conversion.

Along the way, an alert tells the right person a new lead has arrived. A short report pulls it together so you can see which campaigns produced conversations. Your landing pages are where much of this starts.

Speed-to-lead alerts

A new lead that sits unnoticed in an inbox loses value as the hours pass. Speed-to-lead alerts make sure the right person knows a request has arrived.

Common setups send an email to the lead's owner, a message to a Slack channel, or a notification in the CRM's mobile app. The alert usually includes the name, the service requested, the source campaign and a link to the record. Some businesses add a reminder if no activity is logged after a set period, or an escalation to a manager.

How fast your team responds comes down to staffing. The setup makes the arrival visible and can record when the first follow-up happened. If you plan to text new leads automatically, settle the consent question with your counsel first.

Questions to ask about tracking work

Tracking is easy to describe and easy to get partly wrong. These questions help you compare providers:

  • Will everything be set up in accounts my business owns?
  • How do you audit what is already installed before adding anything?
  • Which events will count as conversions, and why those?
  • How do you prevent a single form submission from being counted twice?
  • How will UTM names be kept consistent?
  • Which CRM stages will be sent back to the ad platforms, and how?
  • How do you test the setup before calling it finished?
  • What documentation do we receive at the end?
  • Who maintains the setup when forms or campaigns change?

Specific answers, with tool names and a test plan, are a good sign.

Questions about lead tracking and follow-up

Do I need Google Tag Manager if I only run Google Ads?

Strictly speaking, no. It still helps: Tag Manager puts every tag in one place, keeps a version history and lets you add GA4 events or other platforms later without editing site code. Most setups use it even when only one ad platform is involved.

Will tracking setup change how many leads I get?

No. Tracking records what happens; it does not change what visitors do. It can show which campaigns produce sales conversations, and sending CRM stages back gives ad platforms better information. What the platforms and your buyers do with that is outside anyone's control.

What should a tracking report show?

Keep it short: form submissions by campaign and platform, how many became meetings or sales conversations, how many became deals, and spend for the same period. A note on leads with no recorded source helps catch breaks in the setup early. See lead tracking and follow-up for the full scope.
